This privacy notice explains how we use any personal information we collect about you.

What information do we collect about you?

We collect information about you when you book a class, purchase a class pack of credits or add yourself to our email newsletter mailing list. This information will include personal data such as your name, email address, contact telephone and credit/debit card details / direct debit details depending on what package you sign up for. This information is necessary for the provision of booking classes, memberships and credit packs and in order for us to fulfil our obligations to you as a centre.

We collate this data by our third-party booking provider Mindbody and via our website newsletter sign up software.

Information relating to usage of our website is collected using cookies.

These are text files placed on your computer to collect standard internet log information and visitor behaviour information. Why do we need to collect and use your personal data?

The primary legal basis that we intend to use for the processing of your data is for the undertaking of our contract with you with regards to booking classes, taking payment for memberships and class packs and providing you with information and news about the centre. information that we collect about you is essential for us to be able to carry out the services that you require from us effectively.

Without collecting your personal data, we would be unable to fulfil our role as a Centre.

Where special category data of a sensitive nature is required regarding any health conditions which may impact your ability to take part in a class, we will obtain your explicit consent to collect and process this information. Our requirement to collect this data is for your own safety and wellbeing.

How will we use the information about you?

We collect information about you in order to book classes, memberships and class credit packs as requested by yourself via our website www.ironstone.club or over the phone if booking is requested over the phone.

Who may we share your information with?

In order to deliver our services to you effectively we may share your details with Ironstone Wellbeing class instructors. This information will be shared if there is any medical concern or condition which the instructor needs to be aware of before you join the class, this is for your own safety and wellbeing and is part of our duty of care to you as a centre. Your name will be shared with the class instructor, so they are aware who is attending the class they are teaching.

Our booking software is managed by an external third party. Mindbody. We will disclose your personal data to our service providers, including Glofox, which supplies our cloud business management platform and booking apps. Glofox is also subject to certain obligations with regard to the security of your personal data processed via the booking app.

Where third parties are involved in processing your data, we have a contract in place with them to ensure that the nature and purpose of the processing is clear, that they are subject to a duty of confidence in processing your data and that they will only act in accordance with our written instructions. Where it is necessary for your personal data to be forwarded to a third party, we will use appropriate security measures to protect your personal data in transit. This will include the encryption of data transmitted electronically.

How long do we retain your information?

During the course of our relationship with you we will retain personal data which is necessary to provide services to you as a Centre. We will take all reasonable steps to keep your personal data up to date throughout our relationship. Your data can be updated by yourself via your account login on the website and app.

We will hold your data for a minimum period of two years, after which you will be contacted to request your consent to continue to hold your data. We reserve the right to retain data for longer where we believe it is in our legitimate interests to do so.

You have the right to request deletion of your personal data. We will comply with this request, once we have been contacted in writing by yourselves.

How can I access the information you hold about me?

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email or write to us using the contact details noted below.
